1. Introduction
Quantum Neuron Dashboard (brain.quantumneuron.ai), a platform operated by Quantum Neuron Inc., a company registered in the United States (hereinafter “Quantum Neuron”, “we”, “us”, or “our”).
This Privacy Policy describes how we collect, use, store, share, and protect your personal data when you use our dashboard and AI Persona services. It applies to all users and organizations accessing the dashboard, regardless of location, and is designed to comply with the General Data Protection Regulation (GDPR), UK GDPR, CCPA, and other applicable privacy laws in the European Union, United Kingdom, and United States.
Quantum Neuron provides enterprise-grade AI solutions, including AI Personas, for B2B clients worldwide. Our platform enables organizations to automate workflows, customer service, onboarding, and more, using advanced AI technology.
2. What Data We Collect
User-Provided Data: Name, email address, phone number, hashed credentials, company details, user preferences, and consent records.
Usage Data: Conversation logs (text and, if applicable, voice transcripts), dashboard activity, session history, and interaction metadata.
Technical Data: IP address, browser type, device information, operating system, user agent, cookies, and local storage data.
Third-Party Integrations: Data from authorized integrations (e.g., Google Workspace: Gmail, Docs, Sheets, Calendar) accessed via OAuth 2.0, as configured by the client.
Client Knowledge Base: Text data, links, and documents uploaded or provided by the client for use in AI Persona interactions.
3. Legal Basis for Processing
We process your personal data based on one or more of the following legal grounds (Art. 6 GDPR):
Consent (Art. 6(1)(a)) – where you have given explicit consent for specific purposes.
Contractual necessity (Art. 6(1)(b)) – to perform our contract with you or your organization.
Legitimate interests (Art. 6(1)(f)) – to improve and secure our services, provided such interests are not overridden by your rights.
Legal obligations (Art. 6(1)(c)) – to comply with applicable laws and regulations.
4. How We Use Your Data
To operate, maintain, and improve the Quantum Neuron dashboard and AI Persona services.
To personalize AI Persona interactions and responses.
To analyze user activity for service improvement and troubleshooting.
To train and fine-tune AI models using anonymized interaction data (see Section 6).
To integrate with third-party services (e.g., CRM, ERP, Google Workspace) as authorized by the client.
To store and process client-provided knowledge bases for AI Persona use (e.g., via retrieval-augmented generation or prompt injection).
To comply with legal obligations and enforce our terms of service.
5. AI Model Training and Anonymized Data Usage
With your explicit contractual consent, we may use anonymized data from completed or positively rated Persona sessions to train and improve our AI models. All data used for training is:
Irreversibly anonymized and detached from any user or company identifiers.
Used solely for internal technical improvement and not for commercial resale.
Never includes client-uploaded documents or external knowledge bases unless explicitly authorized.
You may withdraw consent for AI training at any time by emailing privacy@quantumneuron.ai with the subject line: “Withdraw Consent – AI Training”. Withdrawal applies prospectively only.
6. Voice Data
If you use voice-based Persona interactions, audio recordings are transcribed into text for processing. We do not collect or store biometric identifiers or voiceprints. Transcripts are treated as written conversations and are subject to the same anonymization, training, and consent rules. Voice processing may involve sub-processors (e.g., AWS, Twilio) under the same data protection safeguards.
7. Sharing and Disclosure of Data
We do not sell or rent your personal data to third parties. Data is shared only with authorized sub-processors and service providers necessary for platform operation, technical support, or product improvement. All such providers are contractually bound to strict data protection standards and may only process data on our behalf.

8. Use of Cookies and Local Storage
Cookies: We use cookies strictly for user authentication and session management. No tracking or analytics cookies are used.
Local Storage: We use browser-based local storage to store dashboard session data, user preferences, and configuration settings.
9. Data Retention
We retain personal data only as long as necessary for service delivery, compliance, or improvement. Data is deleted or anonymized upon user request, contract termination, or when no longer required, unless otherwise required by law.
10. International Data Transfers
Your data may be stored and processed in the United States, European Union (primarily Ireland or Germany), or other jurisdictions where our sub-processors operate. All international transfers are protected by appropriate safeguards, including Standard Contractual Clauses (SCCs), Data Processing Agreements (DPAs), and, where applicable, adequacy decisions under GDPR or UK GDPR.
11. Your Rights Under GDPR, UK GDPR, and CCPA
Right to Access – Obtain a copy of your personal data.
Right to Rectification – Request correction of inaccurate or incomplete data.
Right to Erasure (“Right to be Forgotten”) – Request deletion of your data.
Right to Restrict Processing – Request restriction of data processing in certain cases.
Right to Data Portability – Receive your data in a structured, machine-readable format.
Right to Object – Object to processing based on legitimate interests.
Right to Withdraw Consent – Withdraw consent at any time (prospectively).
Right Not to Be Subject to Automated Decisions – Not to be subject to decisions based solely on automated processing, including profiling.
Right to Non-Discrimination (CCPA) – Not to be discriminated against for exercising your privacy rights.

12. Security Measures
We implement industry-standard security measures to protect your data, including encryption (in transit and at rest), access controls, regular security audits, anonymization, and data isolation on AWS or equivalent secure cloud infrastructure.
13. Data Sale and Disclosure Commitments
We do not sell, rent, or otherwise monetize client or user data. Data is only shared with authorized sub-processors for the purposes of service delivery, support, or technical improvement, and never for unrelated third-party marketing or profiling.
14. Error Diagnostics and Monitoring
Partially anonymized technical data may be transmitted to third-party systems (e.g., Sentry.io) for error diagnostics, platform monitoring, and technical debugging. This data does not include directly identifying user information and is used solely to improve system stability and reliability.
15. Changes to This Policy
We may update this Privacy Policy from time to time. All updates will be posted on this page with the effective date. In case of material changes, we will notify users via email or dashboard notification.
